Overview

This course is designed for individuals using Microsoft Outlook® 2019, 2016, 2013, or 2010, taught using Outlook 2019 software. From an end-user perspective, there are minimal differences between these versions. Our experienced instructors have worked with all four versions and will quickly highlight the subtle interface changes. Users of any of these four versions will find learning in the 2019 software environment to be straightforward and accessible.

Overview:

Every day, organizations exchange millions of email messages among staff and between external contacts. Email has become ubiquitous in professional and personal life, and email technologies continue to evolve with changing workplace needs. Despite predictions that social media and mobile technologies would reduce email use, email communication has remained essential and continues to grow. Many organizations now use mail management systems that combine the powerful backend infrastructure of Microsoft® Exchange Server with the intuitive front-end interface of Microsoft® Office Outlook® 2019.

In this course, you will customize command sets, configure mail accounts, establish global options, execute advanced searches, apply sophisticated filters to manage and control spam, create rules to automate mail management workflows, work with calendars and contacts, manage task lists, preserve data through archives and data files, and share or delegate access to your Outlook items. You will explore a comprehensive range of features and capabilities that demonstrate why Outlook remains a leading personal management system in the workplace.

This course builds on the foundational knowledge from the Microsoft Office Outlook 2019: Part 1 course and helps you develop a communication system customized to your individual work style and preferences.

This course aligns with Microsoft Office Specialist Program exam objectives to prepare you for the Outlook Associate certification, specifically the Office 365 and Office 2019 exam MO-400.

Course Objectives:

In this advanced course, you will harness Outlook's powerful features to customize and manage your email communications. You will organize emails efficiently, manage advanced calendar settings and options, handle contact information professionally, schedule and track tasks, and manage Outlook archives and data file configurations effectively.

You will accomplish the following:

  • Insert objects in messages and modify message properties and global options.
  • Organize, search, and manage messages using advanced techniques.
  • Protect your mailbox and manage its storage size.
  • Use rules and Quick Steps to automate message management workflows.
  • Configure and work with advanced calendar settings.
  • Import and forward contacts to other users and systems.
  • Manage activities efficiently by assigning and tracking tasks.
  • Delegate access to and share Outlook items with colleagues.
  • Archive and back up Outlook items using data files for long-term preservation.

Target Student

This course is intended for individuals who have a basic understanding of Microsoft Office Outlook and want to develop proficiency with advanced features for managing email communications, calendar events, contact information, search functions, and other business communication tasks.

Prerequisites:

To ensure your success, you should have end-user skills with any current version of Windows, including the ability to open and close applications, navigate basic file structures, and manage files and folders. It will be beneficial to have basic Outlook skills. You can acquire these skills by taking the Outlook Introduction course.
