This course will help you develop the practical skills needed to manage patient data and perform common electronic health record (EHR) workflows used in healthcare organizations. You will learn how patient records are created, updated, documented, and maintained throughout the patient journey, from registration through visit closure. You will explore patient registration workflows, demographic and administrative data entry, clinical and administrative documentation, order and results management, and communication workflows that support coordinated care. Through realistic healthcare scenarios and workflow-based activities, you will apply best practices for maintaining accurate, complete, and timely patient records. You will also learn how to identify and resolve common workflow challenges, support data quality, and understand how different EHR tasks connect to improve patient safety, continuity of care, and operational efficiency. Designed for learners who already have a foundational understanding of EHR systems, this course emphasizes the practical workflows used across healthcare settings rather than the features of any specific EHR platform. By the end of the course, you will be prepared to confidently manage patient data and contribute to efficient, high-quality healthcare operations across a variety of clinical and administrative roles.

Syllabus

  • Patient Registration and Demographic Management
    • In this module, you will explore how patient records are created and maintained through the registration process. You will examine how to enter demographic information accurately, capture required administrative data, and document consent. The module also covers common registration challenges, including duplicate records, name discrepancies, and missing information, and introduces strategies for preventing and resolving these issues. Through guided scenarios, you will practice applying registration workflows relevant to front office and patient access roles. By the end of this module, you will be able to describe and apply patient registration workflows that support accurate, complete, and well-organized patient records from the point of first contact.
  • Clinical and Administrative Documentation
    • In this module, you will explore the documentation practices that are central to maintaining accurate, complete, and compliant patient records in EHR systems. You will examine how clinical and administrative documentation is created and completed within the patient encounter workflow, the standards and completeness requirements that govern it, and the tools available to support structured data entry. The module also covers how documentation supports compliance, continuity of care, and communication across the care team. Through realistic scenarios, you will practice applying documentation principles to common situations encountered in healthcare settings. By the end of this module, you will be able to describe and apply documentation practices that meet organizational and regulatory expectations.
  • Orders, Results, and Workflow Management
    • In this module, you will explore how orders are entered, tracked, and completed within EHR systems, how results are managed and communicated across the care team, and how messaging and task management workflows support care coordination. The module provides scenario-based practice relevant to clinical support staff and health information roles. By the end of this module, you will be able to describe order and results management workflows, apply messaging and coordination workflows, and recognize how these processes contribute to safe and effective patient care.
  • Final Project, Exam, and Wrap-Up
    • In this final module, you will consolidate your learning by completing a comprehensive final project that simulates a realistic patient care encounter. In the project, you will apply your understanding of patient registration, clinical and administrative documentation, orders and results management, and messaging and care coordination workflows as you work through a multi-step ambulatory care scenario. The tasks require you to make decisions about registration accuracy, appropriate documentation approaches, and the handling of orders and results while maintaining high standards of data quality throughout the encounter. The module concludes with a course summary, glossary of key terms, and a final exam that assesses your overall understanding of patient data management and EHR system workflows.
